How to set up a “Buddy System” to integrate international employees

Integrating international employees into your organization can be both exciting and challenging. Having a mentor or ‘buddy’ is one of the most effective ways to help them feel supported and at ease as they settle into their new work environment. By pairing a new hire with an experienced team member, you can provide them with the guidance and support they need to adjust both professionally and socially. Here are some tips on how to create a successful Buddy System for integrating a new international colleague in the workplace.

1. Select the right buddy

The first step in creating an effective buddy system is choosing the right person for the job. Ideally, the buddy should be approachable, empathetic, and have a good understanding of both the workplace culture and how it can feel to adjust to a new country. It’s especially beneficial if the buddy holds a similar job title or works in a similar role, as this allows them to offer more relevant, job-specific guidance. The buddy should be a ‘friendly guide’ that helps the new hire understand both the company culture and the nuances of their role. The goal is to pair your new hire with someone who can make them feel welcome, comfortable, and confident in their new role.

2. Set clear roles and expectations

It’s important that both the new employee and their buddy understand the expectations for the relationship. The buddy should help the new hire navigate both professional and cultural aspects of the company. This includes:

  • Explaining internal processes.
  • Answering questions about workflows.
  • Introducing them to key social and cultural aspects of the workplace.

Make sure that the buddy also knows how to help the new hire with more practical matters, such as transportation tips, how to handle the fika breaks, or how to access health services.

3. Provide resources for the buddy

To ensure the buddy has the right tools, offer them a framework that covers everything they should help with. This could include a welcome pack for the new hire, instructions for setting up meetings, or helpful lists on local customs and company policies. Equip your buddy with resources that will enable them to answer questions and offer advice in a comprehensive, friendly manner.

4. Check in regularly

A buddy system works best when it’s an ongoing relationship, not just a one-time meet-and-greet. Encourage buddies to schedule regular catch-ups with their new hire, especially during the first few weeks.

These check-ins can be a chance to discuss work-related challenges, answer questions, or even just chat about how they’re settling in. By maintaining regular contact, the buddy helps create a sense of stability and support during what can be a chaotic adjustment period.

5. Create a feedback loop

No program is perfect from day one, so make it a point to collect feedback from both the buddy and the new hire. After a few weeks or months, check in with both parties to see how things are going. Are there any areas where the buddy system could be improved? This feedback will help you fine-tune your Buddy System and ensure that it remains effective for future hires.

The power of connection

Introducing a Buddy System is a simple yet meaningful way to ensure your new international employees feel supported and valued from the start. While integration is a journey with many steps, fostering personal connections through a buddy system can make a world of difference. But with a little effort and the right people, it’s a step that can leave a lasting impression.
